Terms & Conditions of Renting from DisplayHQRentals

1.) Prices:
All of our prices include shipping to and from the show venue, set up and dismantle of exhibit / display structure, and graphics that we have produced for your event (unless otherwise noted). Payment is due at time of order.
Prices DO NOT include drayage (material handling from warehouse or dock to show floor and back), electrical service/ electrical labor, or daily cleaning. Carpet or Flooring may be included in the quote if requested.
2.) Locations:
Areas covered in posted retail pricing: San Francisco, CA, San Jose, CA, Oakland, CA, Santa Clara, CA, Los Angeles, CA, Anaheim, CA, Las Vegas, NV, Chicago, IL & Orlando, FL. Other cities may require an out of venue fee.
3.) Time Required/Rush Charges:
The time required to complete your project is 30 days from your Install or "Set Up" date so Please Initiate your order with payment by then (40 days is really better for our prompt submission of our forms to the show). Orders received with less than 30 days until set up will require a 10% to 20% RUSH FEE. Less than 15 days from set up will require a 30% RUSH FEE....sorry but we can’t absorb these charges and maintain the current economical rental pricing. See FAQ Page for further details.
4.) Payment/Refunds/Cancellations:
The majority of cost of any project is represented in labor and shipping. Therefore, payment in full is required to initiate your order. Once the order ships, payment is non-refundable. Orders cancelled before the booth ships are subject to labor charges associated with initiating your order. DisplayHQRentals REQUIRES a credit card on file for all orders. Again, we appreciate your understanding of these necessary transaction procedures.
5.) Show Management Notification
The exhibitor must notify SHOW MANAGEMENT (through the “Exhibitor Appointed Contractor Form” or “Non-Official Contractor Form” found in the show manual) that DisplayHQRentals (dba Xibits) has been chosen as the INSTALLATION AND DISMANTLE CONTRACTOR. This notification is usually required 30 days in advance of the set up dates (please check your manual as some shows require more time). If SHOW MANAGEMENT hasn’t been notified in advance, the exhibitor should call and notify SHOW MANAGEMENT that the deadline was missed and request that DisplayHQRentals (dba Xibits) perform the Install and Dismantle of their display.
6.) Design Graphics and Artwork
We accept .tif, .psd, .ai, .indd, print quality pdfs. Provide native or layered files with resources linked, whenever possible. Please make sure to convert fonts to outline, and if providing native .ai files, LINK any raster (bitmap picture) images so we can check resolution. Raster (bitmap picture) images should be kept between 100-200 DPI original resource at print size. All graphic sizes provided are cut sizes. Please provide One inch Bleed for rollable poly graphics and Two inch Bleed for dye sub fabric graphics. Also in most cases 3/4" on all edges of finished panels applied to truss MAY be obscured by the display structure, so please keep any critical text or logos well inside the borders.
File Transfer SITE GUIDELINES:
You will be given a secure and dedicated upload address which you can moderate yourself, Thank You.
Please zip (compress) your files if they are large, and email us the server response page(s) or a list of the file names & sizes uploaded..
Include the company name or PO in the title of your file names or zip folders so we can identify your files.
Unless otherwise specified, Client will supply print ready files for production. See our Graphics Support page for more information.
Please notify your Rep prior to placing an order if you will need to purchase Graphic Design services from our Art Department (estimate can be provided upon receipt of your supplied images, logo file, design notes, etc)
7.) Damages:
Please take note that our customer is responsible for any damages to rental units that they may cause to the display structure or graphics after the exhibit has been installed and prior to being dismantled. Please Note: Sticky-back Velcro and other adhesives applied to our products may require a cleaning fee.
